My main responsability was to assist the directors with their internal and external affairs. Internal affairs as: 1. answer and manage incoming calls, receive and welcome the visitors. 2. manage and follow up directors' schedules, appointments and bussiness trips in China and other foreign contries. 3. arrange internal meetings and teleconference. 4, collaborate and communicate with different internal departments 5. prepare, edit and translate documents in Chinese and English 6. file and retrieve documents 7. create and maintain the databases of our member companies. external affairs as: interact with different chinese and international pharmaceutical associations, related Chinese authorities, and our member companies. I also organise and coordinate the domestic and international meetings, I need to do the planing, follow the meeting budget, negociate with different suppliers (like the hotels, travel agencies, printing companies, etc), prepare the bilingual meeting materials (like brochures, ppt, etc.), verify all the details before the meeting and make sure everything will go well the day of the meeting, and after the meeting, I need to follow up the invoice and the payment. Meanwhile, I was in charge of two projects as coordinator, one is sales data exchange project, and the other one is Salary and benefit survey, I need to collect the data and transfer it to the third party.
