Dear Mr.Anderson,
In regards to our upcoming meeting, I would like to inform you that we need a projector for the meeting. The room that we are going to use doesn’t have a smart TV, so we need to bring one from the room on the second floor beforehand. Also, I hear that the representetive likes Japanese green tea, so we can purchase some bottled green tea from our catering company. Could you tell me how many people are going to attend the meeting? I would be happy to help you as much as I can to prepare for the meeting.

The room we are planning to use doesn’t have / is not equipped with a smart TV and we don't wish to bring the one from the room on the second floor beforehand. Also, I've been informed that the representative likes Japanese green tea, thus, I'd suggest we purchase some bottled green tea from our caterer. Could you tell me how many people are going to attend the meeting? I will be happy to help you as much as I can to prepare the meeting.

Be careful not to confuse "In regard of" with "regards" with a "s", which is more a formula usually used to end an e-mail for example (but not the best).
