i need to send an email for the sales department of the hotel , asking for a good rate for a year

We at Safadi Corporation would like to reserve a room at your hotel from September 1 2012 tthrough August 31, 2013. We would also like to negotiate a favorable rate for the room. Would you please provide a quote for our stay? Are there any considerations, such as flexibility in location, amenities, or housekeeping, that would minimize the cost of the room?
