“You already brought that up.”
“They approved her.”
“I heard they changed it”
Sounds simple—but if your team doesn’t know who or what you're referring to, you’ve lost clarity.
👉 Quick refresher: pronouns are words we use instead of repeating names or things like:
- I
- You
- He
- She
- We
- They
- It
Rule of Thumb: Pronouns are often used after identifying the noun first. This is known as “Second Mention.”
They help us sound more natural. But on international teams, they can also create confusion when important context is missing.
📊 And in reality, 40% of communication breakdowns in global teams come from unclear pronoun usage. (Source: EF EPI, 2023)
Clarity doesn’t mean overexplaining—it means making sure your message matches your intention.
✅ Be specific.
✅ Name people or projects when there’s room for ambiguity.
✅ Re-read messages from the recipient’s point of view.
Let’s take a look at a few examples:
🧠 5 Pronoun Fixes for Better Team Communication
1. Be specific with “they”
❌ “They confirmed it.”
✅ “The legal team confirmed it.”
2. Avoid unclear “it”
❌ “It was confusing.”
✅ “The onboarding process was confusing.”
3. Use “we” for collaboration
✅ “We recommend moving forward.”
4. Be gentle with “you” in feedback
✅ “The report needs clarification,” not “You may have missed a few points.”
5. Use reflexives for ownership
✅ “I already took care of it myself, no worries.” 🪩
✅ “She handled it by herself.” 🎉
Now, everyone will be on the same page!
